Privacy Policy

Navigator PNW LLC ("we", "us", "our") operates the My Fuel Dock service, including the myfueldock.com web portal, the mfdboard.com price board hosting domain, the My Fuel Dock mobile apps for iOS and Android, and related email and billing systems. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to marina operators who sign up for an account, additional users invited to a marina account, and visitors to marina websites that have a My Fuel Dock price board embedded.
1. Information We Collect
Account and Marina Information
When you create or maintain a My Fuel Dock account, we collect:
- Your name, email address, and (optionally) phone number
- Your role within the marina account (owner, admin, editor, etc.) and the names and emails of any additional users you invite
- Marina business information you enter in the portal: marina name, street address, city, state, ZIP code, website, hours of operation, payment methods accepted, fuel types and grade names, tax rates, and any other details shown on your price board
- Your service tier (free, trial, charter, or paid) and trial expiration date if applicable
- Your reminder preferences (how and when you want to be notified to update prices)
- If your marina belongs to a multi-marina enterprise or group account, the group's name and the name and email address of the group's billing or contract contact
Price Board Data
You provide fuel prices and related information through the portal or the mobile app. This data (current and historical prices, fuel availability status, change timestamps, and the user who made each change) is stored in our database and displayed publicly on your price board. The price board is the purpose of the service, so anything you mark as visible on the board is visible to anyone who visits your website.
Billing Information
If you upgrade to a paid plan, payment is processed by Stripe, Inc. Card numbers, billing addresses, and other payment details are entered directly into Stripe's hosted checkout and never pass through or get stored on our servers. We receive and store only the information Stripe sends back to us: your Stripe customer ID, subscription ID, subscription status, plan interval, payment method type (card or check), and the date your current paid period ends. Stripe's own privacy policy governs what they do with the payment data you provide them.
If you choose the pay-by-check option, we generate a Stripe-hosted invoice that includes the mailing name and address you submit. The check itself is mailed to Navigator PNW LLC and processed manually.
Geocoding Data
When you enter or update your marina's mailing address in the portal, we send the address to Google's Geocoding API to retrieve latitude and longitude coordinates so your marina can be located on a map. Google receives only the address you submit; no account or personal information is sent with the request.
Email We Receive
If you choose to contact us by email at any My Fuel Dock email address (for example support@myfueldock.com or contact@myfueldock.com), we receive and retain your email address along with the contents of your message and any attachments. Messages pass through our email provider, Mailgun, on the way to our team. We use these communications solely to respond to you and to improve the My Fuel Dock service. Support correspondence is retained as long as needed to handle your request and for reasonable record-keeping afterward, and is not sold, rented, or shared with third parties for marketing purposes. In the past, inbound price-update emails were parsed by an AI service (Anthropic's Claude) before being written to your account; that channel is no longer offered as a customer-facing feature, but the email-receipt path remains in place for support and operational use.
Mobile App Data
The My Fuel Dock mobile app for iOS and Android lets marina operators update prices and other information from a phone. The app collects:
- App lifecycle events (when the app is installed, opened, backgrounded) for product analytics; once you sign in, your app usage is associated with your account as described under Product Analytics below
- A push notification token if you enable price reminders, used only to send the reminders you have asked for and delivered through Expo's push service (see Section 4)
- Information you submit through the app: the same kinds of marina data you would submit through the web portal
The app does not access your contacts, your photos, your location in the background, or any other on-device data outside of what you explicitly enter or upload.
Product Analytics
We use PostHog, a product analytics service, to understand how marina operators interact with the portal and the mobile app. PostHog records events such as page views, button clicks, and which features are used, along with technical information like browser type, operating system, and approximate location derived from IP address. PostHog does not record your fuel prices, marina business data, billing information, or message contents. Authorized Navigator PNW team members may view this usage data, including activity tied to your account, to provide support and improve the service. We do not use PostHog for advertising, and we do not allow PostHog to use this data for their own advertising purposes.
Price Board Analytics
For each marina, we keep simple daily counts in our own database of how many times the marina's website was visited and how many times the embedded price board loaded. Each time a board is displayed, we also send an anonymous "board loaded" event to our product analytics provider, PostHog. That event includes a random visitor ID stored in the viewer's own browser (so repeat views can be recognized as coming from the same visitor), the web address of the page the board appears on, and the viewer's IP address, which PostHog uses to estimate general location such as city or region. We do not collect names, email addresses, or other directly identifying information from people who view a board, and we never use this data for advertising. Price boards are served from a separate domain (mfdboard.com), set no advertising cookies, and do not share storage with the rest of the service; the only thing kept in the viewer's browser is that single random ID, used to tell unique views from repeat views.
Audit Log
For your protection and ours, we keep a change log of activity in your portal. This includes sign-ins and sign-outs, changes to your account profile, adding or removing users, updates to fuel prices and fuel availability, opening or closing the fuel dock, and changes to your price board's configuration, colors, name, or branding. Each entry records the date, time, the user responsible, and a summary of what occurred. For example, "Ken Clements updated Regular gas price from $5.49 to $5.59 on March 22, 2026 at 2:14 PM." You can view your own change log on the Change Log screen if your tier includes that feature. Authorized Navigator PNW team members can also view it for support, security, and operational purposes.
Authentication
Signing in is passwordless. On the website, we email you a one-time "Sign in" link; tapping it on the same device signs you in, and opening it on a different device shows a short code you enter on the device where you started. The mobile app uses a one-time 6-digit code. Because there is no password, there is no stored credential that could be lost or stolen. To keep you signed in, we place an encrypted session token in a secure, browser-only (httpOnly) cookie that page scripts cannot read, so its contents stay protected even if the cookie value is intercepted.
Cookies and Browser Storage
We use a small number of cookies and similar browser storage, and they are all necessary to run the service rather than to track or advertise to you. These include the encrypted session cookie that keeps you signed in, a short-lived cookie used by the email sign-in process, and a security cookie that helps protect your account against cross-site request forgery. Our product analytics service, PostHog, sets its own first-party cookies to recognize return visits. We do not use advertising cookies, and we do not sell cookie data. You can block or delete cookies in your browser settings, but if you block the essential ones you may not be able to sign in or use the portal.
SMS / Text Messaging
If you provide your mobile phone number and verify it through our verification process, you may opt in to use the My Fuel Dock SMS service to update fuel prices and receive related notifications. We collect and use your mobile number to:
- Verify ownership of your phone (one-time verification code)
- Receive price update messages you send to our service number
- Send confirmations of successful price updates
- Send clarifying questions when an update is ambiguous
- Send stale-price reminder texts if you have enabled text reminders in your settings
- Send service-related notifications (e.g., update failure alerts)
We use Twilio, Inc. to deliver and receive these messages. Twilio receives your mobile number and the contents of messages exchanged with the service.
We do not use SMS for marketing or promotional purposes. Mobile information and SMS opt-in data are not shared with third parties or affiliates for marketing or promotional purposes.
Message frequency varies based on how often you submit price updates and your reminder settings. Message and data rates may apply, depending on your mobile carrier plan.
Reply STOP to any text message to opt out of all service-related text messages from My Fuel Dock. Reply HELP to receive contact information. You can also remove or change your verified phone number through your account settings in the portal.
2. How We Use Your Information
- To create, maintain, and secure your My Fuel Dock account
- To display your fuel prices and marina details on your website via the price board
- To send transactional email: account sign-in codes, price update confirmations, stale-price reminders, trial-ending notices, and billing receipts or invoices
- To send occasional onboarding tips, product updates, and trial reminders, which you can opt out of at any time
- To send service-related text messages, including verification codes, price update confirmations, clarifying questions, stale-price reminders, and operational alerts, to mobile numbers you have verified
- To process subscription payments and manage billing through Stripe
- To geocode your address so your marina can be located on a map
- To show you usage analytics about your own marina in your dashboard
- To understand how the service is used so we can improve it (product analytics)
- To respond to support requests and operational issues
- To enforce our Terms of Service and prevent fraud or abuse
- To comply with legal obligations
3. Information Sharing
We don't sell personal information about the people who use My Fuel Dock. The fuel prices, marina details, and other information you choose to put on your price board are displayed publicly because that is the purpose of the service.
We share information with the service providers listed in Section 4 only as needed to operate the service. We may also share information:
- With your explicit consent
- If we are part of a merger, acquisition, or sale of assets, in which case we will notify you before your information becomes subject to a different privacy policy
- To comply with a subpoena, court order, or other valid legal process
- To protect the rights, property, or safety of Navigator PNW LLC, our users, or the public, or to investigate fraud or violations of our Terms of Service
4. Service Providers (Sub-processors)
We rely on the following service providers to operate My Fuel Dock. Each receives only the information needed for its function, and each is bound by its own privacy and security commitments. Most providers below are based in the United States or operate U.S. data centers; where one processes data elsewhere, that is noted.
- Xano: backend database and API. Stores account information, marina data, prices, and audit logs.
- Cloudflare: hosting and content delivery for the portal, price boards, and supporting workers. Receives standard request data (IP address, user agent, request paths) for routing and security.
- Stripe: payment processing for paid subscriptions and check invoices. Receives card numbers, billing addresses, and contact information you submit during checkout.
- Mailgun: outbound and inbound email delivery. Receives the contents of emails sent to or from My Fuel Dock addresses.
- MailerLite: email marketing and automation platform. Receives the name, email address, marina name, service tier, and trial status of marina admins and webmasters so we can send onboarding, trial, and product-update emails and manage your email preferences. MailerLite is operated from the European Union.
- Twilio: Phone verification and SMS messaging delivery. Receives your mobile number and the contents of messages exchanged with the service to verify your number and to handle two-way text messaging for price updates, stale-price reminders, and service notifications.
- Google: Geocoding API. Receives the mailing address you enter to return latitude and longitude.
- PostHog: product analytics for the portal, mobile app, and embedded price boards. Receives anonymous usage events and technical metadata, including a random per-browser visitor ID and IP-based approximate location for board views.
- Expo: mobile app builds and push notification delivery. Receives your device push token and the contents of any price-reminder notifications, and relays them to the Apple and Google push networks for delivery to your phone. Used only to send the reminders you enable.
- Apple App Store and Google Play: distribute the My Fuel Dock mobile apps and operate the device push networks (Apple Push Notification service and Firebase Cloud Messaging) that carry reminder notifications to your phone. They handle their own data collection per their respective privacy policies.
- Anthropic: AI parsing of inbound text messages. When you submit a price update by SMS, the message contents — along with your marina's name and its current listed fuel grades and prices, which provide context for interpreting the update — are sent to Anthropic's Claude API before the update is written to your account. Your phone number, name, and email address are not sent to Anthropic. Anthropic does not use these contents to train its models and retains them only for a limited period for trust-and-safety purposes under its commercial API terms.
We will update this list when we add or remove a sub-processor.
5. Data Security
We use industry-standard security measures to protect your data:
- All connections are encrypted with HTTPS (TLS)
- Sign-in is passwordless: the website emails a one-time sign-in link and the mobile app uses a one-time 6-digit code, so there is no stored password to steal
- Authentication uses encrypted JWE tokens (not plain JWTs), held in a secure browser-only (httpOnly) cookie, so token contents are not readable even if intercepted
- Card data is handled directly by Stripe and never reaches our servers
- Price boards are served from a separate, cookieless origin
- Administrative actions are logged in an audit trail
No system is perfectly secure. If we ever discover a security incident that affects your information, we will notify you without undue delay by email to the address on your account, and notify any required regulators as required by law.
6. Data Retention
We retain your account and marina data for as long as your account is active. If you delete your account, we will remove your personal information within 30 days, except where we are required to keep certain records longer (for example, billing and tax records, which we retain for as long as required by law). Aggregate price-board analytics counts are retained indefinitely in summary form because they contain no personal information. Audit log entries are retained for the life of the account so you have a complete history of changes. Stripe retains its own billing records subject to its own retention policies.
Like most online services, we also keep routine backups of our database so we can recover from data loss or corruption. Copies of your information may remain in encrypted backups for up to 90 days after deletion and are purged on a rolling schedule. Backups are used only for disaster recovery. If we ever restore from a backup, we will re-apply any account deletions made after that backup was taken.
7. Your Rights and Choices
You may, at any time:
- Access and update your account and marina information through the portal
- Request a copy of the personal information we hold about you
- Request correction or deletion of your account and associated personal information
- Opt out of non-essential email. We will continue to send transactional and account-related emails (sign-in codes, billing notices, security alerts) as long as your account is active
- Reply STOP to any text message from My Fuel Dock to opt out of all SMS service messages, or remove your verified mobile number through your account settings
- Manage or cancel your paid subscription through the Stripe Customer Portal linked from your account
To exercise any of these rights, email us at contact@myfueldock.com from the email address on your account, and we will respond within 30 days.
California Residents (CCPA / CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act and California Privacy Rights Act, including the right to know what personal information we collect, the right to delete it, the right to correct it, the right to limit our use of sensitive personal information, and the right to opt out of the sale or sharing of personal information. We don't sell personal information about the people who use My Fuel Dock. To exercise your California rights, email contact@myfueldock.com.
Users Outside the United States
My Fuel Dock is operated from the United States and our service providers store and process data in the United States. If you use the service from outside the U.S., you are sending information to the U.S. and consent to that transfer. If you are in a jurisdiction with additional data protection rights (for example, the European Union, the United Kingdom, or Canada), you may have rights to access, correct, port, or erase your personal information, and to lodge a complaint with your local data protection authority. To exercise these rights, email contact@myfueldock.com.
8. Children's Privacy
My Fuel Dock is a business service intended for marina operators. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us so we can delete it.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. If we make material changes, we will notify account holders by email or through a notice in the portal before the changes take effect. Your continued use of the service after the effective date constitutes acceptance of the updated policy.
